How to prevent Multiline string fields from overwriting with other fields

Problem

This technote answers how to prevent multiline string fields from overwriting with other fields when using IBM® Rational® ClearQuest® with Crystal Reports.

Resolving The Problem

Here are the directions to prevent multiline string fields from overwriting with other fields in reports.

In order to allow a multiline field object to grow up to the full text size, you should use Format Editor by right-clicking the object in Crystal Reports Designer.

  1. In Common Tab, toggle the option on if the program is to expand the object frame vertically, provided the value in the object is bigger than the default frame.
  2. Toggle the option off in order to cut off any text beyond what the frame will accommodate.
  • Note: The 'Can Grow' option is off by default.

If you toggle the 'Can Grow' option to enabled, then the maximum number of lines by which the program is to expand an object frame, can be specified. You can enter the desired number of lines into the edit box, otherwise a 0 (zero) should be entered to set no limit.

There is another issue involved when placing a multiline string object above other objects in one section of a report and having the 'Can Grow' option for the variable length object toggled on in the Format.

Editor may overprint objects below it unless:

  1. The section is expanded to fit the maximum size of the object.
  2. The objects are spaced, allowing enough space for the first object to complete printing before the second one begins.

The overprinting problem can be eliminated by creating multiple sections in an area and placing objects below the Multiline fields in separate section(s). Once the report runs, the section with the Multiline object will finish printing before the section below it prints, giving desired results.

Note: Memo and BLOB fields can cause overprinting too.
